  • When handling personal information, Anderson Mori & Tomotsune group ("AMT Group") comply with the Personal Information Protection Act of Japan ("Personal Information Protection Act") and other applicable laws and regulations.

  • AMT Group may collect and use the following kinds of personal information for the purposes set forth in "3. Purpose of Use of Personal Information".

  • name, address, gender, date of birth, name of company or organization, position, telephone number and email address; and
  • any other personal information required for AMT Group's provision of legal services.

3.Purpose of Use of Personal Information

  • AMT Group will use the collected personal information within the scope necessary to achieve the following (and will not use the same for any other purpose). AMT Group will not use personal information in a manner that may encourage or induce illegal or unjust acts.

  • performance of AMT Group's legal services;
  • provision of information relating to AMT Group's legal services;
  • communication of AMT Group courtesy announcements, invitations to seminars, newsletters and other similar notices;
  • responding to various inquiries;
  • recruitment, selection and recruitment-related communication, and human resource management after recruitment;
  • any other purposes incidental to the above purposes ; and
  • any other purposes necessary for the appropriate and smooth performance of law firm business.

4.Secure Management Measures of Personal Information

  • AMT Group strives to maintain accurate and current personal information. Internal regulations concerning the protection of personal information have been established for the purpose of preventing the leakage, loss of, or damage to personal information. Additionally, through the periodic review and amendment of such regulations, an appropriate system is in place and the following measures have been implemented:

  • Prepare and the basic policies and internal regulations to be complied with for the management of personal data in order to ensure provide the appropriate handling of personal data;
  • Appoint a manager for the handling of personal data and establish a system for reporting to and communicating with the manager in case of any fact or signs of violation of the APPI and the regulations on handling of personal information;
  • Ensure that AMT Members are bound by obligations of confidentiality and are thoroughly informed of the information security measures;
  • Appropriately manage the area where personal data are handled and implement measures to prevent data theft;
  • Implement the system to prevent unauthorized access from outside and protect from unauthorized software, and set access authorizations as necessary; and
  • For the management of personal data in other countries, take necessary information security measures based on our understanding of the systems for the protection of personal information in such country and region.

5.Provision of Personal Information to Third Parties

  • When AMT Group provides personal data to a third party situated overseas, AMT Group will take the measures necessary under the relevant laws and regulations, such as obtaining consent. With the exception of the following situations, however, AMT Group will not provide personal information to third parties.

  • when the prior consent of the concerned person is obtained;
  • if required by the relevant laws or regulations;
  • when it is difficult to obtain consent from the concerned person, if required for the protection of a person's life, body or property;
  • when it is difficult to obtain consent from the concerned person, if specifically required for the improvement of public health or the advancement of the sound development of children;
  • if necessary to cooperate with national organizations or local authorities or persons entrusted by any such parties in order for them to perform their duties under the relevant laws and regulations, and obtaining the consent of the concerned person is likely to obstruct the performance of such duties; and
  • if the provision of such information is otherwise permitted under the Personal Information Protection Act

6.Shared Use of Personal Information

  • AMT Group may share with each other the personal information collected for the purposes set out below (“Shared Use”) and this may involve transferring the personal information to jurisdictions outside of Japan. Details regarding the Shared Use of personal information within AMT Group are set out in detail below.
  • Items of Personal Information Subject to Shared Use Name, address, gender, date of birth, name of company or organization, position, telephone number, email address and any other contact information as well as other items of personal information held by the respective parties as necessary to accomplish the following purposes.

  • AMT Group may not be able to comply with your request if your request does not satisfy the requirements prescribed by the Personal Information Protection Act or if there is a reason for AMT Group to decline disclosure or the like pursuant to the Personal Information Protection Act or any other relevant laws and regulations.
  • Please note that AMT Group may request payment of the fees for notification and/or disclosure of the purpose of use of the personal information.

8.Inquiries Regarding Handling of Personal Information

  • AMT Group accepts inquiries concerning the handling of personal information through the inquiry page on AMT Group's website.

9.Changes in Privacy Policy

  • AMT Group will, for the purpose of undertaking the secure management of personal information in an appropriate manner, periodically review and amend this Privacy Policy. In the event of significant changes, AMT Group will provide such information through an easily understandable method such as posting it on its website.
